Tracking Refunds After Cancelling Your Trip: Check Separately with the Hospital, Service Provider, and Hotel

After cancelling your trip, first identify who received each payment, then notify and follow up with each party separately. The hospital, coordination service provider, and hotel or booking platform may have different cancellation terms, deductions, and refund timelines. Keep records of each request, settlement, and payment received. If the refund amount or arrival date is still uncertain, do not count it toward the money currently available for treatment or living expenses.

Key Points

  • Keep one refund record for each payment and the party responsible for it. Cancelling a hospital appointment does not mean your hotel or other bookings have also been cancelled.
  • Save the agreements, notices, and confirmations that applied when you cancelled. Ask the other party to list each deduction, its basis, and the refund amount.
  • “Request received,” “refund approved,” “refund sent,” and “credited to your account” are different stages. Treat the refund as received only when it has reached the receiving account and is available to use.

Identify Who Received Each Payment and the Nearest Cancellation Deadline

Find your receipts, bills, booking confirmations, and the cancellation terms in effect when you signed. Separately list the payer, recipient, amount, and currency for the hospital, coordination or interpreting service provider, and hotel or booking platform. If a package includes payments made on your behalf, ask who actually holds the money and who must request cancellation and follow up, so neither party assumes the other is handling it.

Record the facts about ending the planned arrangements: who decided to cancel or reschedule, when notice was given, and which services had already been completed. If the reason relates to your medical condition or fitness to travel, ask what supporting documents each party requires, and provide only the information needed to process the request. A medical reason does not automatically determine the refund outcome under every contract.

Check the cancellation deadline and time zone for each booking. While waiting for the hospital’s reply, also check deadlines for hotel and other bookings. Then decide whether to cancel or keep them based on your plans and the terms, and save the confirmation. Check flights, transfers, insurance, and family members’ bookings individually as well; each has its own cancellation, change, or claim rules that need to be confirmed separately.

Request Refunds and Check Each Party’s Settlement

Contact each party through the channel specified in the contract or booking. Provide the order number, payment date and amount, reason for cancellation, and services you want to stop. Ask them to acknowledge receipt and provide a written breakdown of the applicable terms, completed services, each deduction and its basis, and the refundable amount and currency. Keep proof of delivery. You can ask:

Please confirm when the booking was cancelled and which services have already been completed. Please list the amount and basis of each deduction, the proposed refund amount and currency, the refund method, the expected processing time, and the contact person responsible.

  • Hospital: Check with the hospital’s billing or settlement department about appointment cancellation, any remaining prepayment or deposit, charges already incurred, the itemized settlement, and the refund procedure. First ask whether the original receipt, proof of the payer’s identity, or authorization documents are required, then submit them through the hospital’s official channels. China’s policy on prepayments at public medical institutions has a specific scope and exceptions. Do not treat a requirement for settling a bill at discharge as the deadline for receiving all refunds for cancelled appointments.[1]
  • Coordination, interpreting, and other service providers: Check the scope of services in the confirmation document, work already delivered, and services not yet provided, and request an itemized settlement. If third-party charges are included, ask whether they were authorized, whether they can be recovered, and what supporting records are available. For fees paid directly to other parties, you will usually need to contact those parties separately under their contracts.
  • Hotel or platform: Check the cancellation policy, deadline, and charges in the confirmation email. Confirm whether the hotel or platform collected the payment and who should handle the cancellation. Request a cancellation number or written confirmation, and ask how taxes, fees, partial stays, or shortened stays will be settled. Terms may differ between bookings.[2]

If you use EastMedGo’s coordination services, the services page explains that medical fees are paid directly through the hospital’s official channels, while coordination fees are handled according to the written confirmation document. The cancellation terms set out how coordination services are settled and the target processing times. Fees paid directly to hospitals or accommodation providers are handled under their contracts and applicable law. Also check the confirmation document and version of the terms that apply to your own booking.

Track Each Refund from Request to Receipt

Keep one row for each payment. You can also copy the record below:

Record item What to enter
Payment and booking Recipient and order number, payer, date, original amount and currency, payment method; record only masked account identifiers
Cancellation request Reason, submission date and channel, acknowledgment received, applicable terms and deadline
Settlement Completed services, each deduction and its basis, confirmed refund amount and currency; mark disputed items separately
Refund progress Party handling the refund, expected date sent, actual date sent, refund or tracking number, expected arrival time
Receipt Date credited, actual amount and currency, account statement or other proof; if not yet received, mark “pending follow-up,” not zero or complete
Next step Person currently responsible, what is missing, next contact date, and the other party’s response

Ask the refunding party to confirm whether the money will be returned through the original payment method and to provide the masked identifier of the destination card or account. If the original card is no longer valid, the account is closed, or a family member paid on your behalf, first ask the payment recipient and card issuer how this will be handled. Do not assume the money will move to a new account. If the other party proposes changing the account, verify the request through an official channel you have already verified. Do not send passwords or verification codes in ordinary chats.

Even after approval, ask whether the money has actually been sent. If the other party says it has, record the date, amount, currency, destination account, and a refund reference number that can be used to trace it. Then ask the receiving bank or payment provider to locate it. Ask separately about request processing time and the time for the bank to credit the funds. Specific timelines must be confirmed with each party for your case.

What to Do If the Amount Is Wrong or the Refund Is Delayed

First compare the original payment, agreed deductions, and refund sent in the same currency, then check what was actually credited to your account. If different currencies are involved, ask the service provider and bank separately to explain the currencies used, currency conversion, possible fees, and the records each can provide. Exchange rates and fees may cause the amount credited to differ. Do not assume the entire difference is fees before checking.[3]

If the itemized figures do not match or the expected time given by the other party has passed, provide the order number, cancellation confirmation, itemized settlement, and payment or refund records. Ask the party currently responsible where the process is held up, what is missing, and when they will reply. If you dispute a deduction, state the item and your reasons, and request a written response. Save both parties’ replies and the dates of contact. If the issue remains unresolved, ask the payment provider whether it offers a dispute process and what submission deadlines apply, or seek help through the routes available under the contract and in the applicable jurisdiction. Whether the money can be recovered depends on the facts and applicable rules. Do not wait until a fixed period has passed before making your first inquiry.[4]

Frequently Asked Questions

If my doctor advises me not to travel, can I get a full refund?

Not necessarily. Obtain the necessary supporting documents as requested by each party, and submit them separately to the hospital, service provider, and hotel. Each party must confirm the outcome under its contract and applicable rules.

Will my deposit be refunded automatically after I cancel an appointment?

Do not assume so. Ask the hospital whether the appointment has been cancelled, what balance remains, whether you still need to apply for a refund, and how it will be refunded.

The service provider says it has cancelled my hotel. How can I confirm this?

Ask for the hotel’s or platform’s cancellation confirmation, reference number, deductions, and refund arrangements, and verify these with the responsible party shown on the booking. Record this separately from the coordination service fee.

Will the refund go back through the original payment method?

First confirm with the party issuing the refund. If the original card has been replaced, the account is closed, or a family member paid, also ask the original payment provider how the refund can be received and traced. Do not change the refund destination to an unverified account.

Once my refund is approved, can I use it to pay for the next part of my trip?

If it has not yet reached your account or the date it will become available is uncertain, do not count it as available funds. Make other arrangements in advance, then update your budget once the refund arrives.

If a family member paid, can the refund go directly to the patient’s account?

The party issuing the refund and the original payment provider must confirm the acceptable method, payer identity checks, and authorization requirements. Do not assume a refund can be transferred to a different account.

Does receiving a voucher count as receiving a refund?

First confirm whether both parties accept it as the settlement method, what it can be used for, its expiry date, and its remaining value. A voucher is not the same as cash available in a bank account. Record it separately.
